# How do I create a Feedback Question Set?

## Feedback question sets define the questions people answer during a 360° feedback cycle. You can adapt a teamecho template or create a question set tailored to your company.

### Find your feedback question sets

Navigate to **360° Feedback \> Feedback Question Sets**.

The **Available** tab contains two sections:

- **Your Feedback Question Sets:** Your company’s question sets that you have permission to manage.
- **teamecho Question Set Templates:** Templates you can use as a starting point for your own question sets.

#### **Who can create and edit question sets?**

Company administrators and 360° Feedback Managers can create question sets. Administrators can manage all company question sets. Other people can edit a question set when they are added under **Question Set Editors**, even without administrator rights.

Feedback Managers need to be added as editors to manage existing company question sets created by someone else.

### Use a teamecho template in your company

To use a template in a feedback cycle, first create your company’s own copy.

1. Find the template under **teamecho Question Set Templates**.
2. Open its **three-dot menu** and select **Copy**.
3. Give your copy a meaningful name.
4. Review the questions, languages and editors. Adapt them as needed.
5. Click **Save**.

The saved copy appears under **Your Feedback Question Sets** and can now be selected when creating a feedback cycle.

Your changes apply to your company’s copy. The original teamecho template stays unchanged.

**A template is marked “Preview”?**
This template is not yet available for your company to copy. Contact the teamecho Customer Success Team to have its availability checked.

### Create your own question set

To start from scratch, click **+ Add** in **Your Feedback Question Sets**.

Everyone is asked the same set of questions. Make sure to frame them in a way that applies equally to both sides—whether giving or receiving feedback.

#### General settings

Complete the following fields:

- **Question Set Name:** Choose a clear, unique name so you can easily find the set when planning a cycle.
- **Description:** Optionally describe its purpose or intended audience.
- **Primary Language:** Choose German or English as the language in which you create the content.
- **Question Set Editors:** Add the people who should be able to maintain this question set.

You are automatically added as an editor when you create or copy a question set.

#### Organize your questions into categories

Categories group related questions, such as communication, collaboration or leadership.

Use **Add category** to create a category and **Add question** to add questions within it. You can duplicate categories or questions and change their order using the action buttons.

Each question set needs at least one category, and every category must contain at least one question. Use distinct category names, question titles and question texts.

#### Choose your question types

You can combine two question types within the same set.

**Open Question**

Participants answer in their own words. For example:

*“What does this person do particularly well when collaborating with others?”*

**Scale Question**

Participants select a value on a rating scale. You can choose between **2 and 11 scale points** and define the labels at both ends.

For example:

*“This person communicates expectations clearly.”*

Scale labels: *“Strongly disagree”* to *“Strongly agree”*.

You can also enable a **Follow-up question**. This lets you ask different open questions depending on the selected rating—for example, what participants particularly value for higher ratings, or where they see room for improvement for lower ratings.

#### Add a final open question

The optional **Final Open Question** gives participants space for anything they would like to add at the end.

For example:

*“What else would you like this person to know?”*

Enter your question, or turn off **Question enabled** if you do not want to include it.

### Add translations

If participants need the questionnaire in different languages, open the **Translations** tab.

1. Add the required languages.
2. Complete the translations for the question-set name, categories and questions.
3. For scale questions, also translate the scale labels and any follow-up questions.
4. Translate the final open question if it is enabled.

Translations are entered manually. Check every activated language before saving, especially after changing the original questions.

### Preview and save your question set

Open **Preview** to check how the questionnaire will look to participants. You can switch between the activated languages and try the questions.

If Preview is unavailable, resolve the errors shown in the editor or translations first.

When everything is ready, click **Save**.

### Use your question set in a feedback cycle

After saving your question set:

1. Go to **360° Feedback \> Feedback Cycles**.
2. Click **+ Add**.
3. Select your company question set in the **Question Set** field.
4. Configure the participants, dates and other cycle settings.

Saving a question set does not start a feedback cycle or send invitations.

### Edit or reuse an existing question set

Open the question set’s **three-dot menu** and select **Edit**.

You can change its content while it has no active or completed feedback cycles. If several planned cycles use this question set, your changes apply to all of them.

**Once a linked cycle is active or completed, the questionnaire content is locked.** You can still change the question-set name, description and editors.

To use revised questions in a future cycle, select **Copy**, give the copy a new name, make your changes and save it. Then select the new copy when planning the next cycle.

### Understand the status labels

| Status | Meaning |
| --- | --- |
| **Active** | At least one feedback cycle using this set is currently active. |
| **Planned** | There is a planned cycle using this set, and no active cycle. |
| **Inactive** | There is currently no active or planned cycle using this set. |
| **Preview** | The template is not yet available for your company to copy. |

**Please note:** “Inactive” does not necessarily mean that the questions can be edited. A previously completed cycle also locks the questionnaire content.
