FAQ for Works Councils and Steering Group: Anonymity & Data Protection

To make sure everyone in the steering group is well informed, we have collected the most frequently asked questions here.

Is participation in teamecho surveys voluntary and anonymous?
Yes. Participation is always voluntary.
All results are displayed anonymously – it is not possible to draw conclusions about individual people.
Results are only shown once a defined minimum number of participants has been reached, recommended: at least 5 people.

How are employees assigned to teams or departments?
Assignment is based on the organizational structure that is set up in advance in the system by the company’s internal administrators.
The smallest unit is a team. Results are only displayed once the minimum group size required for anonymity has been reached.

Aggregated results are only displayed where anonymity is guaranteed.

Which roles exist, and who can see which results?
teamecho works according to a clear need-to-know principle. Only people who need information for their role are granted access. The required settings are always defined by the company’s own administrators.

The most important roles at a glance:

Main administrators:
Can view all results and manage all settings, such as survey frequency, ad-hoc questions, and prioritizations.

Department managers:
Can view their department based on the visibility settings assigned by the administrators. Depending on additional permissions, they may, for example, create their own ad-hoc questions or adjust settings in their own area.

Team leaders:
Usually see their own team and can edit their area if this is desired.

Members:
Take part in the survey and only see the results that have been made available to them.

All permissions and visibility settings can be defined very precisely in the visibility settings.

How does teamecho protect employee data?

We rely on the highest security and data protection standards:
  • Encrypted transmission and storage
  • Strict role-based access control
  • Technically secured anonymity
  • Processing in accordance with the GDPR

How does login work for employees without a company email address?

Employees without an email address use a general access link, direct link, or QR code.
They log in there with their first and last name and set their personal password during their first login.
Direct-link surveys are an exception: these also work without login, but they are not recommended because participation can be submitted multiple times.

Assignment to the correct organizational unit takes place automatically based on the stored structure, regardless of whether an email address is available.

Note: Several people can use the same device as long as they log out again after participating.

Is there a best practice for a role and permission concept?
There is no universally applicable recommendation or concept, as requirements differ from company to company. In practice, a short written definition of who needs which level of access is usually sufficient.

Our recommendation:

“As little as possible, as much as necessary.”
